EASA Just Rewrote the Rules for Virtual Classroom Training in Aviation
A recognized method, not a replacement for the real thing
Your camera glitches for ten seconds during a virtual lesson. Under EASA’s new rules, that’s enough to mark you absent.
EASA has just published a major update to its guidelines on virtual classroom instruction and distance learning, the first comprehensive revision since the framework was introduced in 2020. The document, officially titled Guidelines for Allowing Virtual Classroom Instruction and Distance Learning, Issue 6, published 14 July 2026 under reference TE.GEN.00107-003, applies specifically to classroom instruction required under Regulation (EU) No 1178/2011, Regulation (EU) 2018/395, Regulation (EU) 2018/1976, and Regulation (EU) 965/2012.
This is actually the sixth revision of the framework. The first five, issued between June and August 2020, progressively extended the guidelines from Aircrew Technical Bodies consultation through to maintenance personnel, ATCOs, flight crew, and cabin crew training. Issue 6 is the first update since then, and by far the most substantial, built on lessons learned through the pandemic and the years since.
Two methods, one important distinction
Not all virtual training is created equal, and EASA wants that distinction on record. A virtual classroom is live: an instructor and trainees interact in real time, with two-way audio and video. Distance learning, by contrast, doesn’t require that live connection at all, it can be self-paced, asynchronous, and even delivered without internet access.
One rule cuts across both, and it closes a loophole a lot of people assumed existed: a recorded lesson watched later doesn’t count as classroom instruction. Only live, interactive sessions meet that bar.
What a virtual classroom actually has to deliver
EASA is direct about this: a virtual classroom must match the same training quality and objectives as sitting in a physical room. That means genuine two-way engagement, not a webinar where trainees quietly watch.
The practical requirements read almost like a syllabus of their own. Cameras stay on for the whole session, a trainee whose camera isn’t working is treated as absent, no exceptions noted. Screens smaller than roughly 9.5 inches aren’t considered adequate. No lesson should run longer than 50 minutes without a break. Instructors need dedicated training in managing the format, and they must verify who’s actually in the session before it starts.
The trade-off EASA doesn’t shy away from
What makes this update genuinely interesting is how candid it is about the limits of virtual training, EASA isn’t just selling the format. The guidelines acknowledge that virtual classrooms offer real flexibility, especially for trainees who are geographically distant or juggling busy schedules. But they’re equally clear that face-to-face settings do something virtual ones struggle to replicate: reading body language, building rapport, and developing the teamwork and communication skills that sit at the heart of Crew Resource Management.
Screen fatigue and the mental effort of interpreting limited visual cues, EASA notes, can quietly erode motivation and participation over time. It’s rare to see a regulator name that so plainly.
Where the risk actually sits under EASA Issue 6
Before rolling out either method, training providers are now expected to formally assess a specific list of risks: unreliable connectivity, inadequate equipment, weak trainee engagement, and the practical limits of tools like whiteboards or flight computers that simply work differently on a screen. For distance learning specifically, there’s an added concern: content can quietly go out of date, and generic material may not reflect the procedures a given organization actually uses.
Providers must also notify their national aviation authority before introducing either method, and back it with a documented risk assessment. This isn’t a box-ticking exercise, it’s a genuine gate.
How EASA expects providers to measure success
This update also introduces a clearer accountability layer, and it’s more rigorous than you might expect. Training providers must establish and track Key Performance Indicators for their virtual classroom and distance learning programs, benchmarked directly against traditional face-to-face training where available. These KPIs must cover training outcomes such as pass rates, exam retakes, average scores, and how often retraining is needed, alongside anonymous trainee feedback.
Notably, EASA flags a specific bias to watch for: trainees may rate virtual training more favorably simply because it’s more convenient or cheaper, not because it’s actually more effective. It’s a small detail, but it says a lot about how carefully this revision was thought through. To account for it, providers are expected to ask targeted questions that separate genuine training quality from those non-instructional factors.
The evidence base behind the update
EASA didn’t build this revision in isolation. The guidance draws on IATA’s 2024 Guidance Material on Ensuring the Quality of Training When Instruction Is Delivered Via Virtual Classroom, alongside multiple independent comparative studies on the effectiveness of online versus face-to-face learning. That research base is part of why the guidelines are so specific about what virtual training does well, and where it consistently falls short.
What this doesn’t change
Nothing in this update turns virtual training into a full substitute for hands-on instruction. The guidelines are explicit that practical training still has to happen as originally programmed, and that physical presence remains essential wherever trainees need to build collaborative, interpersonal skills.
Final perspective
This revision reads less like a green light for virtual training and more like a framework for using it responsibly. Virtual classrooms have proven their value for delivering theoretical knowledge, but EASA is drawing a clear line around what they can’t yet replace. For training providers, the opportunity is real, but it comes with real accountability attached.
